Practicum Entry 14 January 2010


I began a bit of a project today. Every time the Archive receives a new group of files they join a backlog. This is the group of files they have not been able to yet describe, arrange, preserve and that require a permanent location. I was tasked with making an up-to-date inventory of what is currently in the backlog and where it is located. This can be a bit fiddley because not everything in the Archive is paper documents in nice, neat boxes. Some things have been sent to the Archive in interesting containers. Some things, like framed pictures or awards, aren't in boxes at all and take up more space on the shelf. As determining the number of linear meters was part of the inventory process, these fiddley bits were sometimes a challenge!
Every different type of document will have different guidelines regarding their future. "
Some common types of records are covered by General Disposal Authorities (GDAs), for example human resources and personnel records, and financial and accounting records,
while for other types you need a specific disposal authority"(Disposal Process Factsheet, Archives New Zealand, 2006).

The project took up the entire day and even at the end of the day I still had several rows yet to complete. Alex told me that there is a standard for the amount of processing that staff are required to put in to the backlog. It is always a challenge when there are so many demands on such a small staff. This seems to be a universal theme.:)
